Notice of 4th ICIN Ltd Annual General Meeting

When: Wednesday 3rd December, 1:00pm – 3:30pm ACST 
Where: Gulkula (Garma site at East Arnhem Land) and Online
Members of ICIN Ltd are hereby notified that the ICIN Ltd Board of Directors has decided that the ICIN Ltd Annual General Meeting will be held at Gulkula, in East Arnhem Land and online on Wednesday 3rd December at 1:00pm. 
We are grateful to our hosts, the Gumatj clan for enabling this meeting to occur on Country.

Who is invited? 
Representatives of member organisations of ICIN are invited. At least 50% of full members of ICIN are required to participate to ensure that quorum for the AGM is met. Associate members are invited to attend as observers. The registered primary contact for your organization is invited to attend. ICIN Board urges all members to bring Directors from your organization to support their understanding and strategic engagement in the network. 

ALFA NT End of Fire Season Meeting – Tuesday 3rd December 
Members are also invited by ALFA NT to participate as observers in the ALFA NT End of Fire Season meeting happening the day prior on Tuesday 3 December. RSVP is required. If you wish to also participate in the ALFA meeting please contact Jen Ansell at [email protected] to confirm or advise Tyron so we can pass on your details. 

Getting there 
The venue will be Gulkula in East Arnhem Land, 40mins drive from Gove Airport. Members that are not already travelling for the ALFA meeting will need to arrange their own transport to Gove by self-drive, airline or air charter. If flying, please advise when you will arrive and depart so that we can assist with pickup/drop offs. Alternatively, you can book hire vehicles at Nhulunbuy Airport through Gove Rentals https://www.goverentals.com.au/ 

Location:
We are very privileged to be able to hold the meeting on Gumatj land at Gulkula. The Gulkula site is located 40km from Nhulunbuy on the Central Arnhem Road, the site is on the edge of an escarpment with views of rolling ranges and the coast.  
Please note that Gulkula is a dry community and the site is strictly a drug and alcohol free area.

Accommodation: 
Accommodation will be provided at Gulkula thanks to support from members Arnhem Land Fire Abatement NT (ALFANT) and Laynhapuy Homelands AC, who will supply hired tents and stretcher beds for everyone for the meeting. We just need everyone to bring their own linen and towels (sheets, pillow and towel).  

Catering: 
The meeting will be fully catered from dinner on Monday night (1st) until Thursday breakfast (4th). 

Nomination of Proxies 
The representative (and person voting) of each full member organization are listed on the next page. The listed representative is required to attend. To support good governance and ensure that Indigenous representatives are at the table, the ICIN Board also requests that all listed representatives ensure that at least one Director of your organisation accompanies you to the meeting. If you wish to nominate a Proxy representative from the same organization, please fill in and return the attached proxy form by November 30. 

Participation of member representatives unable to be there in person will be supported via Microsoft Teams although we urge members to attend in person if possible and to bring any interested Directors, Members or staff along with you.

Nominations for the ICIN Ltd Board of Directors are open to Full Members 
Please consider Rules under the ICIN Ltd Constitution and supply a completed Nomination Form you can find here, by Tuesday 2nd December. 

Can’t attend? 
Please ensure that you have submitted your Proxy Form, which you can find here, in advance to this meeting to ensure that your vote counts. 

12:00pm Arrival (lunch) for a 1:00pm Start (ACST) 

However attendance earlier in the day is also welcomed.
